How to Write Effective Welcome Email

Many large and well established forums when I register and confirm I get a default welcome message and welcome PM

Welcome Email is something like

Dear $username,

Thanks for registering at XYZ Forum! We are glad you have chosen to be a part of our community and we hope you enjoy your stay.

All the best,
XYZ Forum

And welcome PM is

Thanks for registering at XYZ Forum We are glad you have chosen to be a part of our community and we hope you enjoy your stay.

All the best,
XYZ Forum

Before I integrated AWeber with my forums I always welcomed users in a much better and more customized way.

Apart from all techie things we have lot of non-techie stuff as well. Monthly Article Competition which is quite popular where each month articles are nominated by forum members and among the nominated articles we choose the top 5 articles and conduct a member based poll to select the best articles for the month. Winner takes away all the prizes including the entire cash prize. Apart from that we have awards and badges for participation in forum. As you participate more in forums your rank goes up. Start participating and introduce yourself to our amazing community and feel free to welcome other new fellow members.

Things to include in your Welcome Email

  1. Be Human – If you have a welcome email already setup with some default content edit it. Welcome your user with a humanly and more customized email. This is the first impression to your user about your website.
  2. Thanks Note – I always prefer to start my welcome email with a thanks note.

  3. Request to whitelist your email address – I think having this really helps in more than one way.

    Apart from white-listing your email address he can also create automatic filters for all emails from your site.

  4. Build an expectation - The next thing I prefer is to make user clear about what is coming and when. Go4Expert is a monthly newsletter and so I clearly state when he can expect the newsletter i.e. on second week of every month. This again helps me in more than one way.  Even if user subscribes to your list on a day just before you send your newsletter he will not think that he is getting too many emails.
  5. Address your strong points – Last but most important part of any welcome email is to redirect users to other areas of your website. Any user who lands up on some internal page  is not expected to know all about what you have on your website and if you can redirect him to best part of your site he may easily convert from lurker to an active reader.
